For example, inexperienced drivers are quickly coded as are certain more challenging locations. The Dispatch Board prevents dispatchers from placing those deliveries on inexperienced drivers. The system is replete with alerts, warning a dispatcher when mistakenly placing a ULSD or biodiesel load on a "contaminated" trailer, as well as alerting him that a prior load has the potential to contaminate a delivery. Locations and loads that require pumps can only be dropped on tractors with pumps and with drivers that are "pump certified." Your company will easily keep track of all loads—past, present and future.

DispatchThe “board” is a visual process manager. Quick and easy to learn (even by the newest dispatchers) color coding of various fields within each order clearly indicates different bits of critical information. For example, if a load requires critical delivery window or special handling, the window turns red or black respectively. Loads scheduled outside the delivery window show the city in black, which generates an audit trail of who planned that load. In addition, each load state from not dispatched—to dispatched to driver—to at rack—to en route—to delivered—to driver returned—to billing—to invoiced is clearly evident from a glance at the Dispatch Board.

Your customers will be very satisfied with your professionalism and ability to deliver not only their fuel, but also the information and documentation they require. With a customer on the phone, your dispatchers will retrieve BOL's immediately and email them to the customer. All billing and loading documents are available on your web site by within minutes of processing.

The Dispatch Board presents up-to-the-minute available DOT hours. When DOT auditors ask for historical copies of the logs and hours for your drivers, you simply log in and print the reports. Tracking of unexcused absences, vacations, etc. are available to both dispatchers and payroll personnel. Just to let everyone know, I have a weekend dispatcher named George. He actually trained (sitting at the computer – in the driver’s seat) for 2½ days. He dispatched all weekend with relatively NO problems.

You have to understand that George turned 70 years old last Thursday. Accordingly, George did come to the office the week before but only stood behind Mark (our main dispatcher) and watched him for a couple of days. I told Mark to force George to sit down at the desk and start dispatching live on the system.

The system takes very little training. The only complicated issue is figuring out the left and right clicks of the mouse to bring up different things on the program. I disliked it when I first started using the system. However, I have found that this is the most efficient way to navigate the program and I cannot think of any changes that I would do to the dispatch board.

The ability to quickly move loads and make changes is necessary in this end of the business. The manner that the loads feed the schedule board should also eliminate a load being lost or double dispatched. This is over and above the other safety measures inserted at the point of creating a load.
